Job Description

We are looking to hire an Executive Assistant for our Southwest Atlanta location!

Position Overview

The Executive Assistant provides high-level administrative and operational support to the Vice President of Human Resources and the Chief Legal Counsel. This role requires exceptional organizational skills, strong judgment, and the ability to navigate confidential and sensitive matters with professionalism. Prior experience supporting leadership within a higher education environment is strongly preferred.

The ideal candidate is proactive, detail-oriented, and adept at managing complex schedules, communications, and priorities in a fast-paced setting.

Key Responsibilities

Executive Support

  • Manage complex calendars, schedule meetings, and coordinate appointments, events, and travel for the VP of HR and Chief Legal Counsel.
  • Prepare meeting materials, including agendas, presentations, reports, and follow-up documentation.
  • Draft, edit, and proofread correspondence, memoranda, and internal communications.
  • Serve as the primary point of contact for internal and external stakeholders, ensuring effective and professional communication.

Administrative & Operational Support

  • Maintain organized filing systems (electronic and physical), including sensitive HR and legal documents.
  • Support project tracking, deadlines, and deliverables across HR and legal initiatives.
  • Assist with board meeting preparation, policy documents, and compliance-related materials as needed.
  • Coordinate department-wide events, trainings, workshops, and strategic initiatives.

HR & Legal Coordination

  • Handle confidential information with the highest level of discretion and integrity.
  • Facilitate communication and collaboration between HR, Legal, and other institutional departments.
  • Support records management, documentation, and process tracking related to HR and legal operations.
  • Aid in contract routing, document reviews, and other administrative aspects of legal workflows.

Qualifications

Required

  • 5+ years of executive administrative support experience in a corporate, legal, or HR-focused environment.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management systems.
  • Excellent written and verbal communication skills.
  • Ability to multitask, prioritize, and manage time effectively in a dynamic environment.
  • Demonstrated discretion when handling confidential information.

Preferred

  • Familiarity with HR functions, compliance activities, or legal administrative processes.
  • Bachelor's degree or equivalent combination of education and experience.
